Virtual mail during holiday closures lets you review scans already in your account and submit handling requests online. New scans, physical forwarding, and pickup still depend on your mailbox location’s staff, processing schedule, and carrier service.

That distinction matters when you need a letter before a deadline or an original delivered before you travel. A virtual mailbox gives you remote access to processed documents. It cannot scan mail that has not arrived or make a closed facility dispatch a package.

Use the guide below to check what you can do online, confirm the remaining 2026 holiday schedules, and prepare your mail before a closure. Information checked October 22, 2026.

What you can do when a mailroom is closed

A virtual mailbox receives physical mail and provides online tools to review it and request handling. Before relying on an item in your account, check whether it’s an envelope image or a scan of the contents.

PostScan Mail provides images of incoming envelopes or package labels and lets you request actions through your account. Those actions involve different processing requirements.

Action What you can do online What still depends on physical handling
Read an existing content scan Open the document already uploaded to your account Nothing further is needed to read that scan
Request a new content scan Select an item and request opening and scanning Staff must retrieve, open, scan, and upload the document
Request forwarding Provide the destination and handling instructions Preparation, payment or documentation checks, and carrier handoff
Arrange pickup Check available options and request instructions The holding location’s hours and pickup requirements
Request shredding or recycling Choose an available disposal action Staff must complete the physical disposal

Track a request’s status rather than assuming that clicking a button completes it. If you need an original or a new scan by a particular date, confirm the processing arrangement with the location holding the item.

Remaining USPS and carrier holidays in 2026

Carrier schedules differ. The table summarizes routine service on the three remaining USPS holidays in 2026. Specialized services and local conditions can create exceptions.

Holiday and date USPS routine service UPS routine service FedEx parcel service
Veterans Day Wednesday, November 11 No regular delivery; retail counters closed Pickup and delivery available Modified service
Thanksgiving Thursday, November 26 No regular delivery; retail counters closed No regular pickup or delivery Closed
Christmas Friday, December 25 No regular delivery; retail counters closed No regular pickup or delivery Closed

Check the USPS holiday calendar, UPS holiday schedule, and FedEx holiday operations before planning a handoff. The mailbox location also needs its own operating check.

UPS lists an extra transit business day for Ground Saver and Mail Innovations around Veterans Day. Its Christmas Eve schedule also separates delivery from pickup: deliveries are available, but Ground pickup is not. Air and international Air pickup requires advance arrangements.

FedEx lists modified service around Thanksgiving and Christmas as well as the holiday closures themselves. Confirm the exact service and local cutoff rather than treating an open retail counter as proof that a shipment can depart that day.

Confirm the schedule at your mailbox location

Ask the location holding your mail for the dates and times that apply to your requested action. PostScan Mail uses both directly operated locations and independent operators, so confirm the selected facility’s arrangements.

Before a closure, check:

  1. The last date and local cutoff for content-scan requests.
  2. The last forwarding request cutoff and planned carrier handoff.
  3. Whether the location will receive deliveries during the holiday period.
  4. Pickup availability, identification requirements, and any appointment or fee.
  5. The next processing day and how to follow up on an urgent pending request.

Customer support availability does not establish a mailroom’s scanning or dispatch hours. Likewise, a carrier’s scheduled delivery does not confirm that a particular facility can accept the item.

For international forwarding, also check the receiving country’s holiday schedule, destination availability, and customs requirements. Allow time at both ends of the shipment.

Plan your mail before, during, and after the closure

Before the closure

Complete these steps while staff and carriers still have time to act.

  1. Finish activation if you are opening a mailbox. PostScan Mail requires a notarized USPS Form 1583 and identity verification. Use its Form 1583 setup guide and confirm activation before redirecting important mail.
  2. Review items already received. Request scans of the content you need before the location’s cutoff, and identify originals that require forwarding or pickup.
  3. Supply complete shipment instructions. Confirm the recipient’s address, availability, and any required payment or customs details.
  4. Record pending tasks. Note the item, requested action, confirmed processing date, and who will follow up. For business mail, assign someone to review notices while colleagues are away.
  5. Test your account access. Check notifications and recovery details before traveling. PostScan Mail offers two-factor authentication and active-session management; review its account security information.

If expected correspondence hasn’t arrived, ask the sender to send a copy through an approved electronic channel. Confirm whether you still need the original.

During the closure

Use available content scans to review correspondence and identify what needs attention. For example, you may be able to review an uploaded invoice while your office is closed, then send it to the person authorized to approve it.

Separate the decision from the mail-handling request. Reading a document may let you prepare a response, but any required new scan, original shipment, or physical disposal still needs processing.

Keep important pending items visible in your task list. If a notice appears time-sensitive, contact the sender or relevant organization about the required response and deadline rather than assuming the mailroom closure changes it.

A Thanksgiving example

Suppose a location confirms that it will close Thursday, November 26, and Friday, November 27, and resume processing Monday, November 30. Those facility hours are hypothetical, not a PostScan Mail network schedule.

If you uploaded a letter’s content scan on Wednesday, you can review that existing scan during the break. If Wednesday’s upload shows only the envelope and you submit an opening request after the cutoff, the content scan may wait until processing resumes. If you need the document on Friday, resolve that timing with the location and sender before the break.

After processing resumes

Review pending requests and compare their status with the plan you confirmed. Ask about items that remain unresolved, including any shipment with an unclear handoff.

Prioritize documents that need a response or an original. Check tracking for forwarded items and confirm that the recipient can still accept delivery. Review remaining physical storage and disposal requests so items do not accumulate beyond the period you intended.

Prepare your mail before the next closure

Virtual mail helps you access processed correspondence while you travel or close your office. Plan new scans and physical shipments around the location and carrier schedules so you know which tasks can proceed and which need staff.

Explore PostScan Mail’s virtual mailbox service and confirm the chosen location’s holiday arrangements before sending time-sensitive correspondence there.
